Assistant Clerk Duties

Village of Forreston

 

The Assistant Clerk reports to the Village Clerk of Forreston.

 

In summary:  This is a part time position. The Assistant Village Clerk works with minimal supervision to complete tasks.  The Assistant Clerk is in charge of Utility Billing and assists the Village Clerk with any assigned tasks.

 

Knowledge of business grammar including spelling and punctuation, basic arithmetic, filing systems, record keeping and office practices and equipment.  Must have effective communication and interpersonal relations.  Proficiency in basic computer skills and skills in computer applications (MS Word, Excel, etc.)  Attention to accuracy and detail is important.  Must be able to keep business confidential.  Must have a pleasant attitude in dealing with the public.  Ability to present information clearly and concisely, orally and in writing is required.

 

Work Environment:

Work Is generally preformed in an office setting.  Requires standing, walking, sitting, carry, pulling, stooping kneeling, crouching, reaching, and handling heavy items.  Must be able to speak, hear, and have good visual acuity including peripheral, depth, and close and distant vision.  Must be able to lift and/or move 25 pounds.  Requires sitting for long periods of time and light physical exertion including some walking, bending, and reaching.  Finger dexterity is required.

 

 

WATER AND SEWER BILLING

 

The primary job of the Assistant Clerk is to process the Water and Sewer Billing.  This includes:

  • Accepting payments through the cash drawer and making change if needed.
  • Entering payments into the Water and Sewer Billing system for deposit
  • Sending delinquent and shut off notices
  • Creating payment plans for delinquent accounts and tracking payments
  • Completing resident move in/out data entry
  • Monthly water and sewer billing and billing reconciliation

 

 

 

 

 

 

ADDITIONAL DUTIES INCLUDE

 

  • Work with the Supt of Public Works and employees
  • Work with the Village Police Chief and Village Officers
  • Illinois Department of Revenue Tax allocation verification
  • Balance Petty Cash
  • Receives payments of cash, check, and credit card payments due to the Village through the cash drawer.
  • Review mail received and distribute
  • Composing miscellaneous letters to residents when needed
  • Update yearly Ordinance List
  • Update Minute Book

 

 

DUTIES TO BE TRAINED IN

  • Payroll
  1. Payroll data entry
  2. Review and verify electronic payments and fund transfers
  3. Notifies the Village President, Treasurer, and alternate Board Member that checks are ready to be signed.
  • Accounts Payable
  1. Review invoices, code, and enter invoices
  2. Prepare AP report for Board approval – make changes/corrections
  3. Print and post Accounts Payable
  • Create miscellaneous invoices (bulk water, sewage dumps, mowing fees, etc)
  • Assist the Clerk with Building, Gaming, Liquor, Solicitors, and UTV Permits

 

 

POLICE

 

  • Fax/Email reports
  • Ensure all tickets are recorded and payments of fines are collected
  • Mail delinquent notices for unpaid fines
  • Post notices as directed
